Summary of the role
The Workplace & Facilities Manager will play a key role in the development and management of the Diligenta Real Estate and Workplace & Facilities function. The role will have responsibility for the physical, operational, project and administrative delivery of services to meet the needs of the business.
What you'll be doing
Facilities Management:
- Experienced in Hard and Soft Services
- Understanding of building systems e.g. HVAC, UPS and impact on design and build of new space
- Vendor management
- Reactive and proactive maintenance
- Utilities management and reporting
- Specification of building works, cost preparation and landlord/local authority consents
- Security system management - CCTV, alarms, access control
- Update and maintain crisis management and business continuity site plans
Workplace Planning
- Assist with development of Workplace framework
- Develop metric reporting for all UK office space
- Optimize office space to accommodate business needs
- Design and implement flexible and scaleable workspaces
- Monitor space utilization and occupancy
- Develop desk sharing/hotelling model
- Ability to analyse data and identify trends
- Manage office moves
- Space analysis and modelling
Project Management
- Define scope of Workplace projects
- Develop project plans and timelines for approval
- Project delivery to agreed timescales and budget
- Project performance monitoring and reporting
- Identify potential risks and mitigation strategies
- Develop and monitor project costs
Financial Management
- Develop and manage Workplace Opex budgets
- Develop Capex budgets for Workplace and associated projects
- Report periodically against Opex and Capex budgets
- Identify cost saving initiatives
- Forecast against budget and variance reporting
Health & Safety
- Manage office and property related health and safety matters
- Ensure health and safety compliance from external parties, contractors, vendors
- Conduct risk assessments
- Develop and sign off risk and method statements
Stakeholder Management
- Collaborate with support functions eg HR, IT to establish and align Workplace strategies
- Engagement with internal clients
- Communicate effectively with employees regarding Workplace updates and policies
- Facilities & Workplace team
