About This Role

Summary of the role
This role is the administration of a Small Self-Administered Scheme (SSAS) which is a bespoke complex pension product containing multimillion investments. This is niche as there is no system - everything is manual. From a simple query to calculation of benefits the team must manually produce/calculate that information from manual files on site. Effectively replicating what a policy administration system would provide. Additionally, the team hold relationship responsibilities with SunTrust Ltd as Scheme Trustees.
  
What you’ll be doing
  • To complete all manual processing linked to a scheme. This can be anything from a simple/technical query, payments of monies out linked to a transfer, retirement or death, to a calculation of benefits. The team effectively replicate what a policy administration system would provide automatically. Files are held on site, and all administration activity is manual with no system support.
  • To hold responsibility for a portfolio of schemes, acting as a relationship role for the Scheme Trustee and key contact for IFA’s, Investment providers, Third Party Banks, Solicitors, Surveyors and Accountants. Dealing with general queries and escalations as appropriate.
  • To own property sales & property purchases. This will involve dealing with Solicitors and Surveyors ensuring completed within HMRC regulations, ensuring valuations are completed correctly, environmental concerns are addressed, Energy Performance Certificates are in order and VAT is recorded correctly. This is to ensure the Scheme/Trustees are not liable for unauthorised tax charges levied by HMRC (40% value of Property). This includes dealing with ongoing property admin such as rent reminders, lease renewals, valuation updates, property expenses and property development. 
  • Suntrust limited are co-signatories to all Scheme Bank accounts and as such would need to countersign and approve all payments within Scheme bank account to the payee, such general expenses (Accountant, IFA fees), pension Income payments and Property expenses. We are therefore an authorised signatory for this to ensure all these payments are within HMRC regulations.
  • To complete complex quotes including retirements, deaths, transfers and ad-hoc fund splits where the yield requires actuarial sign off before the quotation is issued. This is due to the fact there is no system to produce this information, it must be manually produced.
  • Where the Trustee wants to do something outside of the Scheme rules, we must review this and provide recommendations to Aviva for discussion and sign off this may include a recommendation to resign and remove ourselves form the role as special trustee.
  • Review Scheme accounts to check everything is completed within HRMC guidelines. This is a check to ensure records accurate with reconciliation to ensure that they balance with no missing monies or unauthorised payments. This will include the completing and submitting Annual HRMC Pension Scheme returns in some cases.
  • To oversee all purchase investments. The scheme can invest in several external products such as General Investment Accounts, Trustee Investment Plan, Wraps, Unit Trusts, Open Ended Investment Companies, Discretionary Fund Management, Stockbroker Portfolios, Shares in listed/unlisted Alternative Investment Markets. If completed without consent, then can cause unauthorised payments. Suntrust Ltd must be included as a registered holder or co-owner to prohibit any amendments or withdrawals without our written consent.
  • To oversee all sale of investments – we need to ensure that the sale is going back into the scheme bank account, if paid anywhere else then unauthorised payments against HMRC regulations – we also need to understand reason for sale to ensure we are happy this is within regulations.
